Due to an upcoming internal relocation, 1300MEDICS is seeking expressions of interest from suitably experienced applicants for the position of Operations Coordinator (Victoria).

Established in 2008, we provide industry leading care, underpinned by our emergency physician lead clinical governance model.

 

Position Overview

The Operations Coordinator (Victoria) is responsible for enabling the day-to-day operational delivery of medical services across the state of Victoria. This role ensures seamless coordination of staff, equipment, and logistics for events and routine operations. The Coordinator will work closely with other departments to uphold service standards and operational efficiency.

This position is supported by a seasonal Logistics Officer (casual).

Primary Responsibilities

Workforce Coordination

  • Engagement and ongoing management of casual staff.
  • Rostering and deployment of casual staff.
  • Monitor and improve staff performance.
  • Support recruitment and onboarding processes.
  • Monitor currency of staff certifications and compliance.
  • Monitor and follow up post shift reports.

Logistics and Equipment

  • Coordinate allocation and movement of medical equipment and vehicles.
  • Ensure equipment is maintained, stocked, and ready for deployment.
  • Liaise with the Logistics Officer for warehouse and fleet operations.
  • Monitor stock usage and minimise shrinkage to reduce waste.
  • Medication ordering and auditing as on standard inventory requirements
  • General upkeep of the office, warehouse and training room spaces

Event Operations

  • Collaborate with the Bookings Coordinator to ensure operational readiness for events.
  • Attend pre-event briefings and post-event reviews.
  • Support the development of Medical Operations Plans and liaise with Ambulance Victoria when required.
  • Make travel arrangements for staff when required.
  • Preparing Operations Orders and briefing documents for staff.
  • Prepare post event debrief reports.

 

Qualifications and Experience

  • Experience in operations coordination or leadership roles, preferably in healthcare or emergency services (desired).
  • Strong organisational and communication skills (essential).
  • Ability to work under pressure and manage competing priorities (essential).
  • Familiarity with rostering systems and logistics planning (essential).
  • Experience in the provision of first aid or health care in a clinical role (desired).
  • Registration with AHPRA (desired).
  • Unrestricted drivers license with experience driving 4WD vehicles and towing trailers (desired).
  • Experience in warehousing or logistics (desired)

 

Work Arrangements

  • This is an ongoing permanent position based in person at our Victorian Base of Operations in Tullamarine
  • Peak demand period is November to March each year – recreational leave during this time is subject to additional approvals
  • The standard hours of work are 0845 – 1645: Monday, Tuesday, Thursday and Friday
  • The position can be tailored to the candidate based on study or other external factors
  • Working onsite at event venues on rostered week days may be required from time to time
  • This role is required to provide on-call coverage as the Duty Supervisor (Victoria) – an on call allowance is provided
  • Interstate travel may be required from time to time
